Regarding the training coordinator, I can determine for which group, but can I drill down that they are coordinators on a specific training?

No, you cannot specify that level of detail. You can only assign them to coordinate entire groups. You can configure which groups a user can be a training coordinator for. To do this, you need to enable the "Training Coordinators" toggle located in Training > Permission Settings. This setup was specifically implemented for managing email notifications. Therefore, not only can you configure training for these groups, but you will also receive notifications only for training associated with these groups.

 

Is there a way to designate training materials as "optional" (additional reading, not required for all trainees), so trainees do not have to sign off on all materials?

Yes, there is a method to achieve this. If you have documents that you want to include as optional reading, where users are assigned the documents but are not required to complete them, here’s what we suggest: set up an individual training without a due date, and add these documents to it.

This means users will not receive reminders to complete the training by a certain date, nor will it appear overdue if they choose not to read the documents. Any interaction with these optional materials will be recorded within the training. It’s essential to clearly document in the training description that this is an optional training. This documentation ensures that user progress and this specific instruction are evident in case of an audit or inspection.

However, if you have set up a training with a due date or a training period, as discussed earlier, you cannot selectively designate some training materials as optional while others remain mandatory. In such cases, all content within the training is mandatory.

 

Can a training supervisor also reject a training completed by a Trainee? It looks like a task supervisor can reject a task completion.

That functionality is currently under development. It's not available yet, but there's a workaround you can use temporarily. You can request improvements to the training, and immediately afterward, ask a training coordinator to reject the completion. You can achieve this by selecting the specific training and choosing "require retraining." From there, you have options such as reopening the entire training or selecting specific content for the user to be retrained on. When providing a reason, indicate that the retraining request originated from the training supervisor.

 

What happens if you remove a user function from a user when the user already partially completed the training material that is required as per this user function?

When you access the training details, you'll find various tabs including training materials and users. Within the users tab, there's an option to view active users or former users. Active users are currently assigned to the training either through their user function or by specific assignment. Former users are those who have completed the training previously but are no longer assigned.

For former users, the platform retains their training progress at the point they were removed from the training. This allows you to see how much of the required training materials they had completed before the user function was removed.

 

In the Create Training screen, can you change the Document 1 or Assessment 1 text?

Yes, you can modify the text. Navigate to the training materials section and click on the name of the task (Document 1 or Assessment 1) to edit it. This functionality is highly beneficial as it allows you to add a descriptive label that clarifies the content or purpose of the document or assessment. You can use this feature to provide a title, offer reminders, or emphasize key points, thereby enhancing the training experience and improving clarity for the trainees.
