Is it mandatory to use the reporting manager functionality?

No, it's not mandatory. If you don't configure anybody as a reporting manager, then it's simply not in use.

 

Can the effectiveness check due date be modified? And by whom?

Yes, the due date of the effectiveness check can be modified. It can be found in the middle column of the table, where you would typically also update the due date of a change request for instance. Once you escalate to effectiveness check status, there will be an additional due date that you can modify at any point, and it needs to be done by QA.

 

In the effectiveness check, is it possible to have more than 2 approvers?

Yes, you can have more than one approver. But unless you have QA configured both in the role of the approver and as QA, the approver does not have any role in the effectiveness check process. The approver will approve the change control per se, but will not have a role in the effectiveness check.

 

Who can fill out the effectiveness check task? Is that only the person assigned the QA role?

Yes, it can only be assigned by those who are configured in the role of QA. In CAPA, it's different, you have the responsible person as well, and the effectiveness can be completed either by the responsible person or by QA. Change control is different because the role of the responsible person doesn't exist, so only QA can fill it out and sign off on it as well.

 

Can you incorporate competencies files (certificates) into the training report?

If you have uploaded a document as proof of a specific task, and that document is a certificate, that certificate won't show in the exported list, no.

 

How does the reporting manager role play in manually starting training? For example, if QA needs to be able to start training manually, can they still perform this task even if they are not the reporting manager of the trainee?

To manually start a training you need to have access to the user listing, so let's clarify what type of users do have access to this listing.

Reporting managers will have access to the user listing of the users that report to them, but admin users will also have this access, as well as users who have permission to create, edit, and delete users. So you could have a training coordinator who has access to this, or HR having access to the training. Also, if you're configured as an administrator, you will always be able to do this as well.

You need access to the user listing page. You don't necessarily need to be the reporting manager.

 

Can the Manager role do the same as the Reporting Manager?

Not necessarily. If I'm a manager but I'm not allowed to create, edit, and delete users, I won't be able to access the user listing page.

I will be able to see the dashboard of all the users within the system, but I won't be able to access the user listing page, and thus neither the user per profile and and assign that user to trainings. If I'm a manager who does have permission to create and delete users, then I will be able to assign training to trainees.

 

Is it possible to export a list of trainings per user?

A: If I go in as a user, and I would like to export a list, the list that I should get will only include myself. When you export a list, you will only get the list of your training.

 

As a training coordinator, can I go in and say that I only want to export a specific user's training? 

That's currently not possible. The way you need to do this for now is that you go into the training listing, you find the specific user by choosing their user function, and from here you export all the training that is assigned to that user function. Once you have that report, you will be able to filter within Excel and just filter on the specific user.

 

Regarding the reporting manager: is it possible to have more than 1 line manager? For instance, we have several training coordinators who also need to have an overview of the training.

It's not possible for now. However, there is one interesting feature that relates to this question. 

If I am a user that has 3 users that report to me, and those users also have multiple users within the system that report to them, I would not only see the users who report directly to me but also all the other users who report to the in-between reporting managers, so to speak. I would be able to see the full hierarchy beneath me.

Concerning having several users that need to have an overview of the training. Remember that a training coordinator has quite full capacities within the system. They can go into the training listing page, and when they export from the training listing page, they will always get the full details of everybody's training progress, not just their own.

 

What's the impact of the new 'Create Task' option in the Training module on the already existing training?

Training tasks will work as they always have. You go into training, you edit the training materials, and you click on the plus icon to add a training task. From within the training itself, you configure the training title, the training task title, and the training description, you add in the task supervisor, and you upload whichever file you think is relevant for the training task. 

We will update everyone over email when Training 3.1 is available in your production environment. So for now that functionality gets pulled out of training 3.1 point 0.

 

If I have created TPs, do I need to add UF when setting up new employees? So TPs, are created for stages of Training, so the Trainee only receives the Training that is required at the period of their training?

You can assign training to Users via Training Plans, User Functions, or both.

 

Can these overview lists only be exported/created by Training coordinators?

Anyone who has access to the training listing page will be able to export reports.

 

Can you see the task supervisor in the export file?

Currently the export file does not include the task supervisor.

 

Can you run this training report on archived training?

In the training listing page, you can filter by Training Status, allowing you to export a report only for archived training.
