About Scilife

Scilife is a global, remote-first team behind an eQMS software that enables life sciences companies to manage their quality processes digitally, stay compliant, and ensure continuous audit readiness. We believe better technology leads to simpler, stronger quality management — and ultimately brings safe products to the market. At Scilife, your work helps improve how regulated companies operate every day.

About this role

As Marketing Operations Specialist, you are the operational backbone of Scilife’s Marketing team. You own the marketing-related systems, data, and processes that turn marketing activity into measurable pipeline.

Reporting to the Demand Manager, you will work closely with the Marketing team, Sales, CS Ops, and RevOps to create a reliable, scalable foundation for campaigns, lead management, reporting, attribution, and data quality. Your work will help the team understand what is driving demand, improve how leads move through the funnel, and make better decisions based on clear, trustworthy data.

You will be the technical bridge between Marketing and Sales, safeguarding data quality and GDPR compliance while continuously improving how Scilife measures and optimizes demand generation. This is a hands-on, high-impact role for someone who enjoys bringing order to complex martech, improving processes end to end, and translating marketing data into actionable insights.

Key Responsibilities

HubSpot marketing ownership & administration

  • Own all marketing-related areas of HubSpot, including its architecture, properties, related lifecycle stages, workflows, and reporting setup.
  • Keep the marketing setup in HubSpot clean, scalable, well-documented, and aligned with Marketing team needs.
  • Maintain and continuously improve lead scoring models as the definition of a qualified lead evolves.
  • Scope, evaluate, and implement new tools, integrations, and improvements across the wider marketing technology stack.
  • Monitor system performance, troubleshoot operational issues, and ensure marketing processes run reliably.

Attribution, reporting & analytics

  • Own the marketing attribution and analytics setup, including Hockeystack, UTM governance, and integrations across tools.
  • Build and maintain dashboards covering demand generation, campaigns, Free Trial performance, pipe-source health, MQL to SQO progression, marketing tactics, and CRO.
  • Turn campaign, funnel, and attribution data into clear insights that the Marketing team and leadership can act on.
  • Ensure reporting is accurate, consistent, and trusted across teams.
  • Help identify opportunities to improve conversion, pipeline contribution, and overall marketing performance.

Data governance, privacy & database hygiene

  • Govern lists, segments, and contacts to keep the marketing database accurate, healthy, and usable.
  • Maintain GDPR-compliant processes for consent records, data privacy, and contact management.
  • Ensure data quality standards are documented and consistently followed across marketing activities.

Email marketing operations

  • Govern the email marketing program, including calendar coordination, deliverability, benchmarks, and A/B testing.
  • Support email campaign setup, segmentation, tracking, and performance reporting.
  • Monitor email performance and recommend improvements to increase engagement and maintain strong deliverability.

Sales–Marketing alignment

  • Own the technical side of Sales–Marketing alignment, including SLAs, routing, lead handoff, and lead flow monitoring.
  • Co-own lead flow with RevOps to ensure leads are routed accurately and followed up on efficiently.
  • Support BDR and MQL processes with reliable routing logic, data quality, and reporting.
  • Identify and resolve process gaps that affect funnel visibility, handoff quality, or speed to lead.

AI enablement support

  • Support the Demand Manager in identifying, testing, and rolling out AI tools and workflows that streamline Marketing team processes.
  • Help operationalize AI-enabled workflows where they improve efficiency, reporting, campaign execution, or data quality.

Required skills & experience

Must have:

  • 3+ years of experience in marketing operations, revenue operations, or a similar martech-focused role, ideally in B2B SaaS.
  • Deep hands-on expertise with HubSpot, including properties, lifecycle stages, lead scoring, workflows, reporting, and database management.
  • Strong understanding of demand-generation and funnel mechanics, including MQL/SQO definitions, lead routing, attribution, and pipeline reporting.
  • Proven ability to build clear dashboards and reports that translate marketing performance data into actionable insight.
  • Solid understanding of marketing attribution, UTM governance, campaign tracking, and martech integrations.
  • Working knowledge of GDPR and data-privacy best practices.
  • Strong attention to detail and a structured approach to solving operational and data-related problems.
  • Ability to own processes end to end, document them clearly, and improve them over time.
  • Comfortable working cross-functionally with Marketing, Sales, RevOps, and leadership in a remote environment.

Nice to Have:

  • Experience with Hockeystack or comparable attribution and analytics platforms.
  • Familiarity with life sciences, regulated industries, quality management, or eQMS software.
  • Experience collaborating with or co-owning lead flow alongside a RevOps or Sales Operations function.
  • Hands-on experience evaluating and rolling out AI tools or workflow automation.
  • Basic technical skills, such as APIs, SQL, scripting, or integration troubleshooting.
