Q&A's from the session

Can you explain the importance of the audit trail feature in Scilife's change management process?

The audit trail is a crucial aspect of Scilife's change management process. Every tool within Scilife has its own audit trail, providing a comprehensive record of all actions taken. For instance, at the change request level, you can access an audit trail that includes everything from comments and  signatures, to creation and  completion. Additionally, you have the option to generate a PDF or export the data into CSV and Excel formats for further analysis.

How does Scilife handle customer notifications related to change management?

Scilife operates as a closed system, meaning that customers must send notifications through alternative channels, such as email. Once received, Scilife users can take the necessary actions based on the notification. If the question pertains to tracking a specific action that a customer needs to undertake, Scilife allows for the creation of tasks. While customers cannot directly interact with Scilife, users can notify customers, complete the task internally, and provide evidence, such as email copies or PDFs, for tracking and record-keeping.

Can Scilife provide a comprehensive view of change control statuses and change control tasks?

Absolutely. Scilife offers list pages for all modules, including changes. These pages display detailed information about changes, including their statuses and associated reasons. Users can apply filters to refine their view, for example, focusing on changes in the "implementing" phase or further narrowing it down by groups or specific criteria. Similarly, Scilife provides a similar overview for change request tasks, making it easy for managers to monitor task progress. Additionally, users can leverage the KPI tool to gather specific metrics about changes based on their statuses and timeframes.

How does Scilife ensure that training tasks are assigned to the correct individuals and their respective roles?

Scilife employs a "configure and forget" approach to its training tool. Users define the relevant training and specify which roles they apply to. This is accomplished through user functions based on job requirements. For example, an employee with multiple roles (e.g., Knowledge Manager and Employee) would automatically be assigned the corresponding training for those roles. This automated system ensures that training tasks are appropriately allocated, saving time and reducing the risk of oversights.

Can a change request be linked to a specific piece of equipment in Scilife?

Yes, Scilife offers seamless integration between change requests and equipment. When creating or editing a change request, users have the option to link it to a specific piece of equipment, such as an analytical balance. This link allows users to include cost estimates and ensures that changes related to equipment are tracked and managed efficiently. Additionally, Scilife's centralized system ensures that all processes work together cohesively, enabling users to trace the impact of changes across different elements of the system.
